Our client, a top 5 firm based in the City, is seeking a new addition to their busy and successful team.

Duties will include:

  • Printing, scanning, copying and filing documents and emails
  • Taking telephone messages
  • Providing cover for others in the team
  • Assisting with training, business development and finance administration
  • Arranging meetings, conference calls, video conferences and events
  • Arranging couriers and taxis
  • Ad hoc duties as and when required

This is a full time role, Monday - Friday, either 8am to 4pm or 9.30am to 5.30pm

Our client, a Top 80 law firm in London, is seeking Client Administrators to join their central team, responsible for processing the firm's compliance and billing administration on client matters.

The successful candidates will be responsible for managing the Client Inception Module, liaising with Executive Assistants, Legal Secretaries and Fee Earners, by ensuring all activities and duties adhere to risk and compliance requirements, including:

  • Complete the CIM in Prescient including gathering initial documents according to the Compliance Team's guidance documents; and
  • Liaise with the Compliance Team and fee earning team to complete the process
  • Run conflict checks in Prescient, including sending a conflict check email to the designated distribution group and ensuring that the results are reviewed by the matter Associate
  • Support on case-related work and complete tasks for matters/files e.g. engagement letters and maintain client data
  • Produce first draft engagement letters and liaise with the matter Associate to ensure the letter is completed, signed and sent to the client
  • Be responsible for processing bills, including running the narratives from the system and giving them to the Executive Assistant
  • Liaise with the billing team, produce the relevant documentation and reports and prompt Fee Earners to complete all necessary paperwork
  • Prepare and assist with client communication, print billing letters, get Partner sign off
  • Be part of any change programme as and when related billing processes change
  • Liaise with relevant departments regarding billing, following up bills as necessary, KYC, file opening and payments

Required experience:

  • Typing speed of 50 wpm with a high level of accuracy
  • A good understanding of the Microsoft suite, legal systems and processes (billing, CIM)

Our client, a leading US law firm with an office based in the City is seeking a Legal Secretary to join their Commercial Real Estate team on a permanent basis. This is a busy role and the successful candidate will be working alongside another secretary supporting a team of 8.

Duties will include:

  • Producing correspondence, legal document, memos and other written materials
  • Creating and amend lengthy legal documents
  • Maintaining client and fee-earner files, letters, and memos
  • Coordinating with fee earners on a continual basis to prioritise work to ensure timely turn around and effective use of time to meet deadlines
  • Arranging appointments and complex travel arrangements and maintains fee-earners' calendars
  • Maintaining time records
  • Providing telephone coverage, route calls, takes messages; places outgoing local and long distance calls as requested
  • Preparing and securing proper approvals required for all accounting forms, petty cash, entertainment, trip accounts, etc.
  • Arranging and scheduling meetings
  • Assisting fee-earners preparing billing records, letters and statements to clients.

Duties to include:

  • Take ownership of, and manage, the workflow from the team and delegate/work with central support departments as appropriate
  • Proactively and accurately monitor/oversee inboxes on team's behalf, during absence, as agreed with (e.g. Associates)
  • Proactively and accurately monitor/oversee calendars, set up all meetings and related logistics, and ensure all arrangements are made (rooms booked, and calendars updated with changes)
  • Prepare, edit and proofread all work, adhere to house-style with attention to detail and a focus on quality
  • Work closely and effectively with Executive Assistants, central teams and in collaboration with other Legal Secretaries, providing support in cases of holidays and absences
  • Respond to tasks promptly and manage deadlines, to ensure expectations are managed
  • Be an effective and professional point of contact, to include managing telephone calls, taking accurate messages and being an ambassador both internally and externally for team
  • Manage/co-ordinate billing and compliance processes on behalf of team, to include generating bills, working closely with, and supporting, Client Administrators where necessary to ensure billing/CMI processes are followed correctly in accordance with requirements
  • Ensure expense claims are submitted in a timely manner
  • Use initiative and actively identify and resolve issues when they arise
  • Demonstrate confidentiality, diplomacy and a thorough understanding of the group and clients who you support

This is a full time role, Monday - Friday, 8.30 - 6.30 on a shift basis, working 7 hours a day
